Define the requirement clearly
Describe the goods, intended application, quantity and destination. Include specifications or reference documents your team already uses. If an equivalent product may be considered, explain which features are essential and which can be discussed.
Set priorities before comparing offers
Tell the team whether timing, quantity, condition or another requirement is driving the enquiry. Separate fixed requirements from preferences. This makes it easier to understand whether a proposed option meets the brief or requires further discussion.
Ask for supporting information
Request the product information and supplier documentation relevant to your procurement process. Your business should arrange any technical, commercial or regulatory checks its requirement needs. A sourcing discussion should not replace those checks or treat missing information as confirmed.
Agree the commercial scope
Before proceeding, clarify the quoted goods, quantities, destination, timeframe and responsibilities between the parties. Monark can discuss the sourcing brief and coordination needs with you, keeping the conversation focused on the actual requirement rather than broad assumptions.
